You have several options – from simple to sophisticated – for staying in touch.

The nature of work today is less about a place where you go, and more about what you do.  On any given day, employees are roaming the building, meeting in conference rooms, working from home, off at trade shows or training, visiting customers or in transit between locations.

Given the immediacy of business demands, you can’t be out of touch when away from your desk.  People who need to reach you shouldn’t have to try two or three telephone numbers before they track you down.

With IP business communications, you have a number of ways to stay in touch while having your whereabouts be seamless to the other party.  Here’s a sampling of the options:

Have calls follow you to the numbers you specify.
With Find Me/Follow Me features, you can program the system to try you at your primary number, and failing to reach you there, to try another location, such as your home office, cell phone, then another and another.  The system can follow a whole string of different telephone numbers.  If it exhausts the list and gets no answer, the call goes back to your original PBX voice mailbox for the caller to leave a message.  You only have to check one mailbox for voice mails.

Synchronize your cell phone and desktop phone.
With simultaneous ringing, or twinning, you can have your personal or company-supplied cell phone set up to ring when the desk phone rings, whether you’re in the building or elsewhere.

Roam anywhere in the building with wireless phones.
Wireless SIP DECT telephones with backlit, color screens enable you take your desk phone functionality with you as you roam down the hall, to the cafeteria or conference room, or around the warehouse.  Answer calls, access voice mail, and take advantage of virtually all the system’s advanced calling features almost anywhere you go within the facility.  You can even switch between cordless and digital desk phones during a call.

The wireless handsets connect to base stations that use DECT 6.0 (Digital Enhanced Cordless Telecommunications) technology that can’t be hacked with packet sniffers and won’t interfere with other wireless services, such as BlueTooth, WiFi or cellular services.

Take your desktop communications features anywhere across campus.
There are wireless IP phones that offer wider coverage than digital cordless phones, operating within your facility’s micro-cellular architecture or wireless LAN.

Securely connect from home or on the road over the Internet.
Stay connected using a wireless IP telephone or a laptop, tablet PC or PDA equipped to perform as an IP softphone that can securely access your WLAN via the Internet.

A Toshiba feature called IP User Mobility enables you to have your office phone profile – one directory number (DN) with all associated privileges, preferences and features – follow you anywhere within reach of an IP connection, wired or wireless, intranet or Internet.

Have your smartphone function as a PBX extension.
With an option called Fixed Mobile Convergence, your smartphone can function as a PBX extension via the office WLAN while you’re in the office, and via a cellular network when you’re out of the office.  When you place an outgoing call from within the wireless LAN, the call carries your PBX identity and protects your personal cell number.

As businesses gain more ways to connect –digital or IP, wireless or wired, cordless or cellular or Internet – your communications environment shouldn’t get more complicated.  You can seamlessly blend these communications channels while freeing yourself from the desk.

Endpoints: Which Model to Choose?

A simple Q&A framework for choosing the right model for each user/role

If you’re responsible for specifying phones for your facility, you no doubt want to make sure everybody gets the productivity features they need, but not more than they would ever use.  There’s need to buy feature-rich phones for light users or for backup.  No need to buy a high-end phone for a drop-in workstation that will rarely be occupied.  Here are some guidelines to point the way to the right model at the right price point for various user roles.

 

What type of wiring is available for connecting back to the communications system?

  • Digital phones can use existing in-building phone wiring from the phone jack back to the PBX.IP phones are a good choice when there is no existing phone wiring, such as a new or temporary building, because you connect phones using the same Ethernet LAN that serves the computer.
  • To connect using an existing wireless LAN infrastructure, choose a wireless SIP telephone or softphone (a laptop, notebook or tablet PC equipped to perform as an IP phone).To use a secure, closed network using wireless base stations, choose a wireless SIP DECT phone.
  • For remote users, chose IP phones or softphones to connect to the phone system through the IP LAN or the Internet.

Is the endpoint for a power user?

Heavy phone users will be more productive with models that offer 10 or 20 programmable buttons for fast access to calling functions.

Receptionists and others might need add-on modules for 10, 20 or 60 more programmable buttons, with the ability to see who’s busy and transfer the call to them at the touch of a button.

For those who use a lot of phone features, displays make it easy and intuitive with context-sensitive options and step-by-step prompts.

For those who handle a high volume of inbound and outbound calls, unified communications software empowers the user’s PC to dial, answer, transfer calls and more, using the mouse, without ever picking up the telephone.

Anyone who spends a lot of time on the phone will appreciate that most Toshiba phones have integral headset jacks.

Will the phone be used in dim or variable light, or by a user with impaired vision?

Choose a model with an easy-to-read, backlit LCD.  Desktop phones can be tilted to different angles to eliminate glare from windows or overhead lights.  Toshiba cordless phones even have a backlit keypad for dialing in low-light situations.

How much data will the endpoint be transmitting?

Some Toshiba IP phone models support 10/100 Mbps Ethernet connections, sufficient for most meeting and collaboration purposes, screen sharing and viewing screen pops from external systems.  For fastest access to high-speed network connections, choose a model with an integrated Gigabit Ethernet switch.

Is the endpoint for a remote, traveling user?

Soft phones are well suited for road warriors who connect through the Internet in their hotel room or other remote locations.

Personal and company-supplied cell phones can be set up to ring when the desk phone rings, to provide both in-building and external mobility.

A layperson’s guide to the array of desktop and mobile communication devices

Remember when a telephone sat on the desk, didn’t light up, didn’t get carried around, and certainly didn’t talk to the PC sitting right beside it?  If you’re younger than 50, you might not.  In mainstream business environments, digital telephony has been around since the 1980s, mobile workplace phones since the early ‘90s, and IP communications since the mid ‘90s.  It has been a long time since the basic telephone and its cousin the fax machine were the primary means of connecting in the workplace.

Today business users have an impressive range of choice in phones.  In fact, telephones are now so versatile, diverse and smart that they are often called endpoints.  (They don’t like to be mistaken for those soulless, legacy devices that couldn’t do much more than transmit the human voice.)

Facing a new wealth of options in endpoints, how do you make the right choice for yourself?  For employees throughout the office?  For remote or traveling employees?  Here’s a quick look at the first steps to narrowing down the choices.

To what type of business communications system will the endpoints connect?

Where will the endpoints be used?

If the user stays more or less at a desk – whether in a local, remote or home office
A desktop phone with microphone and speaker (with mute options, headset interface and programmable feature buttons) is the logical choice.

If the user needs to roam around the building
Choose a wireless handset or mobile phone that uses your wireless LAN or wireless base stations to connect into the central communications system, such as Toshiba IP4000 wireless mobility phones.

If the user travels to other locations outside your company’s phone or data networks
Choose either: (A) a softphone client (software that empowers a PC to perform the features of a desktop phone), or (B) a network option that enables your smartphone to function as a PBX extension via the office wireless LAN while in the office and via a cellular network out of the office.

Having narrowed down the choice to digital or IP, desktop or mobile, you still have a wide range of choice in features and functionality, to find just the right model at the right price point for each user/role in the organization.

What’s in store for 2012?

Brian Metherell, vice president and general manager of Toshiba Telecom, presents six top trends for SMB business communications.

The start of a new year is time to take stock, look ahead and plan for what the coming months will hold for business communications systems.  Maybe we’re glass-half-full types, but we see a lot of good news ahead — and we’re working hard to create some of that good news.  Here are the top six trends that should interest our small to mid-sized business (SMB) customers.

1.    This is the year for unified communications.

When most people hear the term “unified communications,” they often just think of voice, email and fax.  That’s what we call unified messagingUnified communications is much more.  It’s about converging desktop phones, cell phones, voice mail, email, video conferencing, Web-based collaboration, presence, chat and more.  It’s about extending this capability to everybody, not just to call center agents and power users.

In 2012, SMBs will realize that unified communications are truly within reach — and are simple to deploy, simple to use and affordable.

2.    Small business will think big.

According to U.S. census data, 99.9 percent of the 27.5 million U.S. companies have fewer than 500 employees.  Fewer than 20,000 companies have more than 500 employees.  SMB remains a very big market!

Representing such a huge force in commerce, small to mid-sized businesses won’t compromise in their business communications in 2012.  They won’t accept stripped-down versions of enterprise phone systems.

In 2012, we’ll see more SMBs — even those with only 10 or 20 lines — adopting phone systems that give them all the features, power and control of enterprise-class systems, scaled and priced for small business.

3.    The forecast for cloud services will be mostly sunny.

Large enterprises and the federal government have long been taking advantage of cloud computing, in which business data and applications are hosted on remote servers and securely accessed via IP networks.  Cloud computing makes high-end applications — such as telephony — affordable, easy to deploy, easy to manage and flexible enough to adapt to changing business demands.

In 2012, the concept of applications as a service will gain favor with more SMBs as well.  A March 2011 Microsoft survey indicates that 39 percent of SMBs (2–250 employees) will be using one or more cloud services within three years, an increase of 34 percent.

4.    Mobility will seize the day.

According to Nielsen, 77 percent of Americans have a mobile phone of some sort, and 43 percent of them have smart phones.  Those percentages are even higher for the ages 25–34 crowd, your up-and-coming employees.  So it is no surprise that mobile phones will become commonplace as the lifeline to the communications system back at the office.

Mobility gives you one phone number with all associated privileges, preferences and features and can follow you anywhere within reach of an IP connection, wired or wireless, intranet or Internet.  You can empower your smart phone to function as an office extension via the office wireless LAN while in the office and via a cellular network when out of the office.  You can also have incoming calls ring at your desk phone and cell phone simultaneously.

In 2012, the growing use of these features will boost productivity and make business users’ physical locations quite seamless to colleagues and customers.

5.    IP and TDM will continue to coexist.

IP telephony is king for many companies, but digital is not a dinosaur yet.  Even today, many small to mid-sized businesses are still buying digital phones, especially for systems with fewer than 100 lines.  Digital might be all those businesses need for now, such as for static users who don’t need IP’s new features and for traditional businesses such as retail outlets.

The market in 2012 and beyond demands both IP and digital platforms — and that both work together.

6.    Regulatory compliance will be a growing consideration.

From healthcare organizations that must comply with HIPAA privacy protections to life sciences companies reporting to the FDA to financial institutions accountable to federal regulators, more and more organizations are held to regulatory scrutiny.  Does anybody see this regulatory ecosystem becoming simpler and more lax in 2012?  We certainly don’t.  Even in industries that are not as heavily regulated, companies still must behave as good citizens in protecting customer data, privacy and care.

As a result, 2012 will bring greater adoption of communications systems that support business integrity and regulatory compliance.  That can mean call recording systems that support supervisory oversight, quality control and an audit trail of verbal exchanges.

These six trends are not big leaps of faith.  The stages have been set over the past few years, and the technologies are here already.  The elements are in place for 2012 to be the year when more SMBs claim their rights to perform on par with the big players and have communications without compromise. I’m a chic, pure IP and business-friendly type who likes remote collaboration, unified communications, mobility and much more.  I’m easy to work with, have a great 1U body, and can do so much on one integrated server that you might forget about other companion servers.

It’s not Jane Austen’s day, but romance is ageless.  And with Toshiba’s IPedge® business communications system, our R&D team outdid themselves setting up the perfect arranged marriage.

It was a model partnership at first sight.  Although the underlying architectures are different, Toshiba’s Strata® CIX™ and IPedge® systems share the same telephones, many of the same applications, the same look and feel for users, and they network together very nicely.

This harmonious relationship gives businesses a lot of choice.  You can:

  • Continue to enhance and grow your Strata CIX systems.  Strata CIX is still a great choice for businesses that depend on digital phones as well as IP devices and applications.
  • Network IPedge® and Strata CIX systems together, perhaps using IPedge® at larger sites or those needing an all-IP architecture, and Strata CIX at sites that still have digital phones for many of their users.  The feature set and user interface are comfortably familiar, so all locations will feel much the same.

Music on Hold and Copyright Laws

Let’s cut to the quick. Music on Hold and background music played through your telephone system must be licensed. Even if you are using a radio station or playing songs you purchased on a CD/MP3 player, it’s still illegal if used without permission. Radio stations have the right to broadcast music but not the re-broadcast rights. When you purchased a CD or MP3 file, you own the medium but not the rights to the music on it. If you get caught — and there are people who get paid to look for criminals like you — expect to pay $1,500 to “settle out of court.” This is coincidentally the amount you would need to fight your case in court, but the settlement has a 100 percent certainty that the prosecutor will go away while the litigation route cannot guarantee success.

Music on Hold is a necessary business tool. The industry average is that more than 50 percent of callers to your company will be put on hold. Those callers need to hear something during their hold time, or they could think that they have been disconnected while they were waiting. There are solutions.

The classy route is to hire a professional company to record messages to use while your customers are on hold. Their set-up includes hardware, licensed music of your choice and customized messages that are updated, usually quarterly.

Another solution is to contract with a subscription music source such as Muzak. If you have cable TV service at your business location, your cable company may be able to offer you Music Choice or a similar service. These are the music channels you see on cable TV except that they are branded specifically for re-broadcast.

The most logical solution is to purchase a digital audio system designed specifically for Music on Hold and message playback. They are designed for 24/7 service and usually have royalty-free music included.

Remember: the airwaves may be free, but getting yourself out of a copyright lawsuit is not.

You’ve Come a Long Way, Baby!

Of all the inventions from yesteryear to today’s super high-tech world, it seems that the telephone is one item that has really made an impact in our everyday lives. So much so that it is almost impossible to even think of not owning one. Much like the television is a staple of almost every household, so is the telephone.

From that first day in 1876 when inventor Alexander Graham Bell made his first call to his trusty assistant Mr. Watson, the telephone has not really changed all that much. I mean, its core purpose and innovation was to be able to pick up the handset and have a clear conversation with another person. In fact, it has just been during the last 30 years or so that technology really fine-tuned the telephone to make it as common as the clothes we wear.

 When the first phones came out, they were solid, very heavy and rugged instruments that were made of metal and wood with trays for pens and a platform for writing pads to jot down notes. The cords were encased in heavy cloth. During the course of time, technological advancements and the consumer’s appetite for more functions prompted telephone makers to start adding useful features such as redial, hold, visual ringing indicator, handset and ringer volume settings and so forth.

 As time progressed and the growing popularity use of using plastics in more and more products became the norm, phone manufacturers jumped on the bandwagon too. Soon, due to its durability, flexibility and low cost, telephone manufacturers started creating molded plastic casings to create lighter models as well as a slew of colors that you may remember from your childhood or grandparent’s home. I don’t know why, but a lot of these colors seemed to come from the food spectrum — lime green, banana-yellow, avocado green, cherry red, chocolate brown, etc.

 Up until 1982 or so, telephones in general have always been pretty much a basic product. But when other technologies evolved, such as the personal computer, fax and printing machines, cellular capabilities, and gaming consoles, that all changed. Not to be left behind, the telephone evolved with advanced improvements for the consumer and business world alike. Now, we have more feature options such as Caller ID, LCD display, speed dial, music on hold, voice mail and a host of other enhancements to make calling your neighbor, or around the world, much easier.

 By the 1990s, we saw the introduction of a telecommunications technology boom where applications that were once isolated, such as email, the Internet, VOIP, and SIP trunking, began to converge.  Slowly but surely, innovators were working to bring more of these value-added applications together to create the “killer-app.” Then lo and behold, the big game-changer came along — the smartphone. Hindsight is 20/20, and we now ask: why didn’t we think of this before?

Today, you can hold, in the palm of your hand, an instrument that will allow you to be truly mobile. You have the power to be available (or not) to anyone, anywhere and at any time. True Unified Communications and uMobility means you can make and/or receive calls, surf the net, receive and send emails, chat, send faxes, pay your bills and so much more.  One can only wonder what an early innovator like Alexander Graham Bell would think if he could see the advancement of his creation. He’d probably say, “You’ve come a long way, baby!”

What’s Better Than an Oscar?

Excellence is its own reward, but it’s sure nice to be recognized.

It’s that time of year again.  Everyone is abuzz about the nominees, their chances for winning “Best of…” in their respective categories, and what they will be sporting.  There were so many fine releases last year, domestic and foreign, but only a few get the coveted awards.

We are talking about the Internet Telephony Product of the Year awards, of course.

“Recipients of the 14th Annual Product of the Year Awards represent the year’s most innovative new products,” according to TMCnet News.  “The editors of INTERNET TELEPHONY selected the companies that have demonstrated the vision, leadership and thoroughness associated with the Product of the Year Award.  INTERNET TELEPHONY honors the most deserving companies with this esteemed award.”

We’re happy to report that Toshiba’s new IPedge™ system earned yet another day on the red carpet – no huge surprise to fans, since the IP business communications system had already earned a 2011 INTERNET TELEPHONY Excellence Award.

When the paparazzi are shooting for the tabloids, IPedge won’t need any shape-wear under its bezel; it has always been a sleek 1U, yet delivers more applications on a single server, such as expanded call processing and voice mail with unified messaging, unified communications, centralized administration and the ability for users to program their own phones.  For up to 1,000 users.
